Role: Office Manager (Education Department)
Contract: Part-Time (21-25 hours per week)


The Office Manager provides operational support to the Gray’s Inn Education Department to ensure that all teams have the necessary administrative support to deliver their programme.  This will include the provision and maintenance of the master events schedule, updates to calendars (across Gray’s Inn), update of all departmental web information and routine correspondence with the Inn’s members at all levels.  The Office Manager is responsible for liaison with other Inn departments to ensure all Inn events are scheduled and resourced.  The Office Manager also provides the liaison point in the Department for student issues through the Association of Gray’s Inn Students and the inn’s Residential Scholars.

Main Responsibilities

  • Maintain the master schedule of events and act as the single point of contact for scheduling in the Education Department
  • Provide liaison POC with the Banqueting Department and Events Management Team to ensure effective scheduling
  • Manage all communications with stakeholders to ensure events are resourced appropriately
  • Provide a liaison point of contact with the Association of Gray’s Inn Students and the Inn’s Residential Scholars
  • Support the management of events as directed by the Director of Education or other Departmental Managers
  • Ensure effective communication within the Education and Training Department and other departments within the Inn
  • Provide counter-service in support of all departmental functions
  • Working with departmental managers ensure effective monitoring and management of departmental Inboxes
  • Provide tours of the Inn to prospective members
  • Provide liaison with external contractors working with the Department
  • Contribute to team meetings
  • Support the internal training and upskilling of colleagues in relation to office management
  • Supervise the induction of new staff
  • Support Team Leaders in the accurate recording and reporting of lieu hours
  • Represent the Education Department at Inn meetings

Skills and Experience

  • Experience in an office management of lead administrative role
  • Experience working in a school or educational establishment/charity
  • Confident in managing enquiries and correspondence from customers of all levels (from student member to senior members of the Inn)
  • An excellent eye for detail
  • Marketing and comms experience
  • Works well to deadlines
  • Good IT skills including experience of MS Office and databases
  • Good time management skills
  • A team-player
  • Willingness to work evening and weekends in support of events (these are scheduled well in advance and time off in lieu is provided)
  • Customer service experience, preferably in a student-facing role
  • Experience scheduling meeting and taking minutes
