Event Bookings
The Honourable Society of Gray’s Inn (“The Inn”) reserves the right to amend or cancel any event or booking. The Inn accepts no liability if an event is cancelled or postponed including no liability for any expenses incurred as a result of cancellation.
The Inn will close bookings four working days from the event date, unless stated otherwise on the specific event page. If an event has sold out prior to four working days, we may operate a Reserve List and where this is possible, it will be available via the Gray’s Inn Online System (“GIOS”).
The Inn reserves the right to limit the number of places and guests allowed at events; places available will be stated when booking via GIOS. The Inn reserves the right of admission to all events.
Cancellation & Booking Amendments
If you need to amend or cancel any part of your booking, please email the Events team.
If you cancel on or ahead of the bookings closure date, you will be refunded the full registration fee. Refunds will not be made for cancellations that occur once event bookings have closed.
If you are outside the refund window, we may be able to offer your ticket to someone else, so please do cancel your ticket. If we can reallocate your ticket, we will issue a refund.
You may change your guests details without charge, provided you confirm their full name in writing before or on the event closure date. Please note that any changes made after this date can still be made but will need to be reviewed by the Event Team on a case-by-case basis. Please also refer to the “Dietary Requirements” terms and conditions below.
We are unable to transfer a booking to another event. The original event will need to be cancelled by emailing the Events team and a new booking made for the chosen event via GIOS.
Qualifying Sessions and Educational Events
Once a QS is booked, you are unable to cancel and receive a refund other than in exceptional circumstances and will be required to provide evidence to support this. The cancellation period for Qualifying Sessions is 3.5 business days and may be longer for some events, such as moots. From January 2022, we are charging an administrative fee of £5 to all refund requests.
You have 6 months from the event date to provide us with your details. After this period, your refund request is no longer valid.
If you are unable to attend or you are running late, you must call 020 7458 7808 or email the Registrar and explain why.

Dietary Requirements
As a Member of The Inn, it is your responsibility to ensure your and your guests’ dietary requirements, including details of allergies, are up to date on GIOS at the time of booking onto events. Please ensure you check and confirm carefully each time.
Members can update their GIOS record with their dietary requirements for all future bookings, by logging into GIOS and selecting Members Portal.
Your confirmed dietary requirements will be stated on your eTicket. Where a dietary requirement has been stated you must print your eTicket and bring this with you on the evening of the event, this will be collected by our catering staff once seated.
If you need to update yours or your guests’ dietary requirements after making an event booking, please email the Events Team before the event closure date. For any dietary requirements received after the event closure date, we will do our best to cater for these, but we cannot guarantee they will be met.
Access Requirements
As a Member of the Inn, it is your responsibility to ensure yours and your guests access requirements are provided to us with plenty of time for us to review the requirements and ensure the best possible access is in place for you.

Photography / Videography
For promotional purposes there may be photography and video production taking place at The Inn’s events.
The Inn reserves the right to use the media captured at any event for marketing and publicity in our printed publications, on our website and on social media.
By taking part in the event, you grant the Inn full rights to use the images resulting from the photography/video filming. Media may also be retained in perpetuity within the Inn’s Archive.
If you do not wish to be photographed or you have any concerns, please inform an event organiser upon arrival at the event. We cannot guarantee that you will not be included in the background of photographs or video.
